Onboarding videos that get a new account to its first real result.

100+ videos produced for Jotform. 20+ for Knack.

The problem it solves

What this actually fixes.

Accounts that never reach a first result churn quietly, and the support team absorbs the difference by running the same walkthrough live, one customer at a time. An onboarding series moves that walkthrough into the product, where every new account gets it on day one, at the moment they need it, without anyone booking a call.

Who needs it

Who this is for.

  • Self-serve SaaS products where nobody is scheduling a kickoff call.
  • Customer success teams running the same live walkthrough every week.
  • Products with a setup step — data import, integration, configuration — that new accounts stall on.
  • Teams launching a free trial or product-led motion for the first time.
  • Companies onboarding a second user type: admins, end users, or client-side viewers.

Where they get used

Every video is made for a placement, not a folder.

We ask where a video will be embedded before we script it, because the placement decides the length, the aspect ratio, and whether it has to work with the sound off.

In-app onboarding checklists and first-run flows.

02

Welcome and activation email sequences.

03

The empty states a new account sees before it has any data.

04

Kickoff calls, where the series replaces the live walkthrough.

Trial nurture campaigns and re-engagement emails.

Real examples

What’s included

Everything in the list below is standard.

Nothing here is an upsell. If a deliverable is quoted separately, it is named as an extra on the estimate before you agree to anything.

An activation map: the steps between sign-up and first value, agreed before scripting.
One scripted video per step, sequenced so each one ends where the next begins.
Screen recording inside your product, using an account staged to look like a real new one.
A shared visual template, so the series reads as one piece of onboarding.
Voiceover, captions, and SRT and VTT files for every video.
Short in-app cuts alongside the full versions, for embedding in tight UI space.
Thumbnails and a suggested placement for each video in the sequence.

Length and delivery

How long, and how soon.

Typical length
60 seconds to 4 minutes per step, across a series of 4–8 videos.
Typical delivery time
2–4 weeks for a complete series once the scripts are approved.

The clock starts when the script is approved and a recording environment is available. Those two things are what usually move a schedule, so we agree both before quoting a date.

Every project, the same way

The parts that never change.

Four stages, and you are needed for two: your team scopes the list and approves the scripts, then recording, editing, voiceover and revisions happen without your calendar. Human-recorded English narration is the default, synthetic voice is available where re-cuts are frequent, and every video ships with captions, an SRT and a VTT. Two revision rounds are included and you own the finished files outright.

What affects the price

The variables that move a quote.

SaaS Onboarding Videos is quoted per project, because the same runtime can mean very different amounts of work. These are the factors that change the number.

Factors that affect the price of SaaS Onboarding Video Production from DocFlow Studio
FactorHow it moves the price
Number of stepsthe activation path decides the video count, and the video count decides most of the price.
Number of rolesa product with distinct admin and end-user journeys needs branches, not one series.
Account stagingonboarding has to be recorded from a genuinely empty account and built up on camera, which takes longer than recording a mature one.
In-app cutsshort versions sized for embedded players are quoted alongside the full videos.
Languagesadditional subtitle tracks are inexpensive; additional voiceover languages are quoted per project.
Refresh cadenceonboarding tracks the parts of a product that change most, so many teams put the series on a scheduled review.

Ongoing work runs on monthly plans priced in production credits — see monthly SaaS video production plans. For a single video, send the product and the problem and you get back a video list, a recommended length for each, and a fixed price — not a discovery call. Request a fixed quote.

Questions

SaaS Onboarding Videos, answered.

Read all FAQs

How many videos does an onboarding series need?

Usually four to eight. The count comes from the activation path, not a package: one video per step a new account has to clear before the product does something useful for them. If the path has more than eight steps, the honest answer is usually that the product has an onboarding problem a video cannot fix.

Should onboarding videos live in the app or in email?

Both, and the same videos serve both. In-app placements catch users who are already trying; email catches the ones who signed up and left. We deliver hosted-ready files plus short in-app cuts so the same series covers each placement without a second production.

Do you make separate videos for different user roles?

When the product has genuinely different journeys, yes. Admins configuring a workspace and end users living inside it need different videos. The usual structure is one shared first video, then a branch — which is cheaper than two full series because setup and template are shared.

Can you work from our activation data?

Yes, and it makes the series better. If you know the step where accounts stall, that is where the series concentrates. Without data we work from what your support and success teams already know, which is usually the same answer stated less precisely.

How is this different from a product demo?

A demo persuades someone who has not bought yet. Onboarding takes someone who already has an account and makes them successful in it. The demo can compress and skip; onboarding has to match the real interface step for step, because the viewer is following along in their own account.
