How a project starts and who does what.
How do we start a project with you?
Send us the product and the tasks users get stuck on. We work through the interface ourselves, then return a video list with a purpose, a target length, and a fixed price for each. Scoping costs nothing and does not require a call. Work begins once you approve that list in writing.
Who writes the scripts?
We do. Every video is scripted before recording — narration and the exact click path, side by side — and your named approver signs off before we capture anything. If you already have a help article or an outline, we adapt it rather than starting from scratch, which lowers the price.
Do you work with agencies under a white label?
Yes. We produce, you deliver under your own brand. Nothing carries DocFlow Studio branding, we do not contact your client, and we appear in your process as your production team. Ownership passes to you on delivery, so you can license or resell the videos however your client contract works.
Production
How the videos actually get made.
Does anyone from our team appear on camera?
No. Every video is screen recording plus voiceover, motion graphics, and callouts. Nobody needs to be filmed, scheduled, or made presentable, and no shoot has to be booked. It also means the videos stay usable when the person who would have presented them leaves the company.
Do you record inside our real product?
Yes. We capture the actual interface in a sandbox, demo tenant, or staging account, including the settings screens and error states users really hit. We do not mock up or illustrate screens, because a tutorial showing an interface your users cannot find generates more support tickets than it prevents.
What happens when our UI changes after delivery?
We re-cut the affected segment instead of rebuilding the video. Each video is delivered as a versioned project with its segments kept separate, so a redesigned settings page means replacing that footage and one line of narration. Ongoing production plans include a set number of these updates each month.
Can you produce videos for a feature that is not released yet?
Yes, provided we can reach it in a staging or feature-flagged environment. Launch-day videos are one of the most common requests. The risk is late interface changes, so we schedule recording as close to a frozen build as possible and quote any re-records separately if screens shift after capture.
Voiceover & languages
Who speaks, and in how many languages.
Do you use AI voiceover or a human voice actor?
AI voiceover is included in the base price and is what most clients choose — it stays consistent across a library and is cheap to re-record when a script changes. Human voiceover is available as an add-on. For a large library that will need frequent updates, AI is usually the more practical choice.
Can you add subtitles or produce videos in other languages?
Every video ships with burned-in captions and a sidecar caption file at no extra cost. Additional languages are quoted per language and include a translated script, a voiceover pass, its own caption file, and on-screen text where your interface is localised. Caption-only localisation costs less than full re-voicing.
Can you match a specific tone or accent?
Yes. Send a video you like or a tone-of-voice guide and we will match pacing, formality, and terminology. Accent and gender are selectable for AI voiceover, and we supply sample reads before committing a whole library to one voice. The choice is locked at script approval, not after delivery.
Rights & revisions
What you own and what you can change.
Who owns the finished videos?
You do. Full ownership transfers on final delivery, including source project files on request. You can re-edit, re-host, translate, repurpose, or hand them to another producer without asking us. There is no licence, no renewal, and no per-view fee — once delivered, the videos are permanently yours.
How many rounds of revisions are included?
Two, in every project. The first comes after the initial cut, the second after the near-final. Consolidate your feedback into each round and two is usually enough. Additional rounds are quoted before we start them, so nothing appears on an invoice that you have not agreed to in advance.
What counts as a revision rather than a new video?
A revision is a change within the approved script: timing, emphasis, a corrected label, a re-recorded screen. Changing what the video teaches, adding steps that were never scoped, or replacing an approved script is new work and gets quoted separately. We tell you which one a request is before doing it.
What file formats do you deliver, and how?
MP4 masters at 1080p or 4K, in the aspect ratios agreed at scope. Each video ships with burned-in captions, a sidecar .srt file, a written transcript, and a thumbnail. Files go wherever you want them: a shared drive, a storage bucket, or straight into your video host. Source project files come on request.
Security & access
What we need to see, and how it is handled.
Will you sign an NDA?
Yes. Send yours and we will sign it before you give us any product access. If you do not have one, we work under our standard mutual confidentiality terms. Pre-release features, internal roadmaps, and anything visible in your staging environment are treated as confidential either way.
What access do you need to our product?
A sandbox, demo tenant, or staging account with realistic data — ideally not production. The account needs to reach every screen the script touches, including settings and admin views. One account is enough. Access can be revoked the moment recording finishes, because editing does not require it.
How do you keep customer data off screen?
We work in non-production environments with seeded or fictional data wherever possible. If real data appears in a capture, it is replaced or blurred in the edit before you see the first cut. Names, email addresses, and account identifiers visible on screen are reviewed as part of every delivery.

What it costs and when it lands.
How much does a software video cost?
There is no published price list, because the same three-minute runtime can mean wildly different amounts of work. Every project is quoted after scoping, per deliverable rather than per month. What moves the number: video duration, how complex the interface is, how much script development is needed, AI versus human voiceover, how many languages, how many aspect ratios, revision rounds beyond the two included, and how fast you need it. Volume pulls it the other way — a series shares one script template and one brand setup, so cost per video drops sharply after the first few.
When do we find out the price?
Before anything is recorded, and without booking a call. Send the product and the tasks users get stuck on, and scoping comes back as a written video list with a fixed price per video. Scoping costs nothing. Once you approve that list, the price is fixed in writing and does not move unless you change the scope.
How long does a video take?
A single feature clip takes about five business days from approved script. A product demo takes seven to ten, a full tutorial ten to twelve, and a six-video library three to five weeks. Add three to five days for scoping and one to two weeks for scripting at the start of a new project.
Do you offer ongoing monthly production?
Yes. Ongoing production covers an agreed number of new videos each month plus re-cuts of existing ones when your interface changes, with a maintained versioned library and priority scheduling. It runs month to month after an initial three-month term. It is the only recurring option — everything else is bought per deliverable.
